Dashboard and reports

Follow your sales, downloads and licensing on the dashboard, see why its numbers differ from your payout, and export your sales for your accounts.

Your dashboard is the first thing you see when you sign in, and the quickest way to know how your business is doing: what you've sold, what you'll be paid, how many people download and activate your software, and how all of that compares with the month before. When you need the numbers in a spreadsheet, the sales report and the payout report give you every line.

Views and insights

The dashboard opens when you sign in, or when you click the Moonbase logo at the top of the sidebar. It's made up of views, shown as tabs along the top. Every account starts with five:

  • Overview: the headlines, from revenue and payout to downloads, a conversion funnel and license activity.

  • Sales: revenue, payout and affiliate commission, by product, country, discount and referrer.

  • Product Usage: downloads, trials, devices, license validations and voucher redemptions.

  • Subscriptions: recurring revenue (MRR), new and churned subscribers, active subscribers and retention.

  • Emails: the emails your customers were sent, and how many were delivered, opened and clicked.

The dashboard Overview with the Range, Compare and Granularity filters, and insights for gross revenue, payout, affiliate commission, downloads, revenue by product and the conversion funnel

Each view is a grid of insights: numbers, charts, tables, maps and more. Click Add insight to add one. You choose what to measure (sales, subscriptions, licensing, downloads, emails, customers or vouchers), how to break it down (by product, country, payment method, UTM campaign and more) and how to show it. Drag an insight by its grip to move it, or drag a corner to resize it. Reset layout puts a view back the way it started.

The icons next to the tabs let you Pin as default, Duplicate view, Share view (as a code a teammate pastes into Import view) and Delete view, and New view starts an empty one. Your views are saved for you as you go, and each person on your team has their own. Editing views works on a computer, not on a phone.

Filters and comparisons

The filter bar at the top applies to the whole view:

  • Range: from Last 24 hours to Lifetime, or a Custom range.

  • Compare: Previous period (the default), Previous month, Previous year or No comparison. The percentage on each insight is the change against it.

  • Granularity: hourly, daily or weekly. Hourly is only available for ranges of up to a week.

  • Products and bundles, and, when they apply to your account, the purchase Type (one-off or subscription), the sales Channel and the subscription Cycle.

An insight can also have filters of its own, which take over from the view's. Days are counted in your own time zone, so a day's total can differ a little from a tool that counts in UTC. The most recent period is still being counted, so today's numbers can still go up.

Why the dashboard doesn't match your payout

This is the most common question about the dashboard. It isn't the currency: the dashboard already shows every amount in your payout currency. The difference comes from what the dashboard leaves out:

  • Refunds and chargebacks. The dashboard counts each sale when it's made, and doesn't take it off again when it's refunded or disputed later. Your payout does.

  • Fees that don't belong to a sale. The dashboard's Payout takes off the fees and affiliate commission on each sale, but not the payout fee, dispute fees or usage fees such as license validations and campaign emails. Those come off your payouts.

  • The period. A payout covers a fixed period, while the dashboard shows whichever range you pick, with days counted in your own time zone.

Keep in mind, too, that gross isn't net: Gross revenue is what customers paid, tax included, Net revenue leaves out the tax, and Payout is what's left for you after tax, fees and affiliate commission. To match a payout line by line, use its payout report (below). Fees are explained in Fees & Costs, and payouts in Getting Paid.

Orders you imported from another platform count in your revenue but never in your payout, because Moonbase didn't take that money.

Exporting your sales

The sales report

On the Sales page, click Report. Choose a Month or a Date range, click Generate, and then Download once it's ready. You can close the dialog while the report is being made.

The report is a CSV file with one row for every product or bundle sold: its ID, the amounts, tax, fees and net, the affiliate's share and yours, and the customer's and business details. Months follow UTC.

The payout report and invoice

Every payout on the Payouts page has Download report, a CSV of every line in that payout, and Download invoice, the payout invoice as a PDF. Your accountant will usually want both. See Getting Paid.

Licensing, downloads and emails

Beyond sales, the dashboard follows how your software is used:

  • Licensing: license validations, activations, trials started and devices, by product, country, platform or app version.

  • Downloads: by product, platform, version and country, plus the funnel from download to trial, purchase and license activation.

  • Emails: sent, delivered, opened, clicked, bounced and marked as spam. Only an email's first open counts, and some email apps block the tracking that counts opens, so open rates always run a little low.

Frequently asked questions

Do my test purchases show up on the dashboard?
While your account is in demo mode, the dashboard shows your test orders, so you can check that everything works. Once you're live, it only counts real orders.

Why did yesterday's numbers change?
The most recent period is still being counted when you look at it, so its numbers can still grow.

Why is Add insight greyed out?
A view holds up to 15 insights, and the Overview starts out full. Remove one, or create a new view for your own insights.

It says "Analytics temporarily unavailable".
The report was too heavy to work out in one go. Choose a shorter range and try again.

Why does my MRR look flat?
MRR is a level at a point in time rather than a total, so it only moves when subscriptions start, change or end.
